Who we are

This site is run by Austen Diamond Creative Services LLC, a Utah limited liability company doing business as Austen Diamond Photography, Austen Diamond Wedding Photography, and Austen Diamond Commercial Photography + Film. This policy covers both of our websites, austendiamondphotography.com and austendiamond.com, and the questionnaires and emails that go with working together. “We” and “us” mean the company. “You” means the person reading this.

What we collect and how

The contact form asks for your name, email, phone, company (on the commercial site), the type of job, the event date, and a message. We keep what you type, and nothing on the form is collected without your typing it.

When you inquire or book, you send us more in the ordinary course of working together: emails, questionnaire answers, timelines, vendor lists, locations, and the details of your day or your project.

Both sites are set up to use Google Analytics, which sets cookies in your browser. We use it to count visits, see which pages people read, and learn how visitors find the sites. Google receives your IP address, browser and device information, and the pages you view. Google explains what it does with this at policies.google.com/technologies/partner-sites. When you send the contact form, the submission is counted as an event in Google Analytics, without the contents of what you typed. The commercial site loads its typefaces from Google Fonts, which means your browser sends a request to Google that includes your IP address. The company that hosts the sites handles the traffic to them, as any web host does.

Both sites also use the Meta pixel, a small piece of code from Meta, the company behind Facebook and Instagram. It tells Meta which pages you viewed here so that we can show our own ads on Facebook and Instagram to people who have visited. Meta explains how it uses this at facebook.com/privacy/policy, and your Facebook and Instagram ad settings let you limit ads based on your activity. We do not run a chat widget, visitor accounts, or a checkout on either site.

Where your information goes

Your inquiry arrives in our email, which runs on Google Workspace, and in our client management system, VSCO Workspace, which is where we send quotes, contracts, invoices, questionnaires, and the scheduled emails that go with a booking. Delivered images live in our gallery host, ShootProof. Vendors who worked your wedding or event may receive gallery access, and may use images in their own portfolios only with our written permission. Google receives the analytics and font requests described above. Payments made through an invoice go through our payment processor; we see that a payment was made, not your full card number.

Those are the companies that handle your information for us, and they handle it only to do that work. We do not sell personal information. The only sharing for advertising is the Meta pixel described above, which shares the pages you viewed with Meta, not what you type into the contact form.

How we use it

We use your information to answer you, quote the work, book it, deliver it, and keep a record of it. Once you book, we send the emails that go with the job: the questionnaire, the timeline check, the gallery delivery, and the rest. By sending the contact form or emailing us, you agree that we may email you about your inquiry and, from time to time, about our availability, news, and offers, and every such email has a way to unsubscribe. To stop those emails, use the unsubscribe link, or reply and tell us, and they stop.

How long we keep it

We keep inquiry and client records for as long as we run the business and for as long as tax and legal records require. Your gallery stays online for the period stated in your agreement. If you inquired and did not book, you can ask us to delete your inquiry at any time and we will, unless we need it for a legal or tax reason.

Photographs of people

The photographs and video we make are our copyright. How a client’s images appear on our website, blog, and social media is governed by the agreement that client signed. Wedding stories and project posts on our blog also carry the names, venue, vendors, and story details the client gives us for that post. Guests and attendees appear in those images under the notice the client gives before the event.

If you appear in an image or a blog post on our site or our social media and would like it taken down, email us. We will remove it from our website and social media within a reasonable time. A parent or guardian can ask on behalf of a child, and the child can ask for themselves once they are an adult.

We do not license a photograph or video for someone else’s advertising when you are a main subject in it without your written release. We do not create AI simulations or digital recreations of anyone’s face, body, or voice without that person’s consent. Ordinary retouching and editing of a photograph or recording in which you actually appear is not a simulation.

Reviews

We republish client reviews from Google, The Knot, WeddingWire, Zola, and Facebook on our sites, in full or as excerpts, lightly corrected for spelling, punctuation, and grammar. If you wrote one and would like it removed from our sites, email us and we will take it down.

Children

The sites are not directed to children under 13, and we do not knowingly collect personal information from a child. A child who appears in a client’s images is there under that client’s agreement, and a parent or guardian can ask us to remove the image at any time.

Your choices

Email us at info@austendiamond.com to see what we hold about you, correct it, or delete it (the tax and legal exception above applies to deletion). Your browser settings control cookies, including the Google Analytics cookies. Marketing emails stop when you use the unsubscribe link or tell us.

The Utah Consumer Privacy Act sets revenue and data-volume thresholds that we are well under, so it does not apply to us. We honor access, correction, and deletion requests anyway, because that is the right way to treat the people we work with.

Security

We do not store card numbers, and we take ordinary care with the accounts that hold your information, but no system connected to the internet is perfectly secure.

Changes

When we change this policy we will update the date at the top and post the new version here. The version posted is the one that applies.
